We follow the work rather than interview about it. Sitting with the people performing a process reliably reveals steps nobody documented and workarounds invented years ago to route around a system limitation that no longer exists.

Indicative Timeline
A single workflow typically runs six to ten weeks from observation to full rollout. Observation and redesign take longer than the build, which surprises people who expect the technology to be the hard part.

Frequently Asked Questions
Where should we start?
With whichever process causes the most complaints or the most audit findings. Purchase approvals and invoice processing are the usual first candidates because delay and control weakness both concentrate there and improvement is easy to measure.
Will this reduce headcount?
That is not usually why organisations do it. The common outcome is the same people handling higher volume with fewer errors and less overtime at month end. If headcount reduction is the objective, say so early, because it changes both the design and the change management.
What if people work around the system?
They will, if the design ignores how the work actually happens. That is precisely why we observe before building and pilot before rolling out. Workarounds are a design signal, not a discipline problem.
Does this improve our audit position?
Generally yes. Automated routing enforces segregation of duties and produces a complete audit trail automatically, which converts a control that was previously asserted into one that can be tested.
Can it work with our existing systems?
Usually. Workflow sits above the systems of record and hands off to them, so it does not require replacing your finance or HR platform. Integration depth depends on what those systems expose.
What about processes that are genuinely exceptions?
They stay manual, deliberately. Automating a process performed three times a year rarely repays the effort. We automate the volume and route the genuine exceptions to a person with the context they need.
